Position Description:

We are seeking well spoken, engaging, outgoing, technology savvy, office manager / executive assistant for 20+ person downtown office. Candidate will work with a diverse local team consisting of executives, IT specialists, and financial managers. The candidate will also work with a national team of engineers, building experts and sales executives. The candidate must be trainable on business specific intra-company technology tools as well familiar with standard Microsoft office products. These include SAP, Concur, DAS, SharePoint, Outlook, Word, Excel, Visio etc.

 
Essential Duties and Responsibilities

• Manage office resourceso Office equipment, systems and supplies o Answer and re-direct phone calls o Coordinate conference rooms, internal and external meetings and events with staff• Manage and coordinate executive’s schedule and travel o Manage calendars in Outlook, coordinating travel, calls, meetings and events with national team members, customers, contractors and partners o Schedule travel, meetings, vehicles and lodging, manage travel accounts and expenses, track unused tickets and travel voucherso Support and coordinate executive in-town office time to allow maximum efficiencyo Track and manage expense reports, timesheets, inter-company communications, sensitive financial and personnel information • Manage BU expense reporting system - Review, assign cost codes and approve Business Unit expense reports (all BU employees) using the Concur expense reporting system • Manage Business Travel Account (BTA) for non-company employees, training travel and entry level employee travel• Track holiday, sick leave, vacation time off for all BU employees using HR system • Coordinate recruiting efforts, interviews and hiring of new BU employees in coordination with Corporate HR resources • Marketing and sales support – coordination with sales and marketing resources to clean-up, improve and share marketing and proposal information


 
Qualifications

Ideal candidate has an undergraduate degree (marketing, technical or business admin. preferred - but open to all degrees), with some business /office environment experience. Candidate is well spoken, good listener, well organized, professional in business settings, interested in engineering and technical subject matter and engaging colleagues, clients and related technical professionals, enjoys business related topics and discussions, flexible with workload and juggling executive’s schedule, deals well with change, and has a high degree of self-confidence. Significant growth potential with the right attitude and degree.
